Introduction

VisionPay Revenue Management ("VisionPay," "we," "us," or "our") is committed to protecting the privacy and security of your information. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit our website at visionpayrcm.com (the "Site") or engage with our revenue cycle management services.

Please read this policy carefully. If you disagree with its terms, please discontinue use of the Site. This policy does not apply to Protected Health Information (PHI) governed by our Business Associate Agreements (BAAs) with covered entities, which is handled under our HIPAA compliance program.

Information We Collect

We may collect the following categories of information:

Contact and inquiry information you provide voluntarily — such as your name, email address, phone number, practice name, and message content — when you submit a contact form, request a free RCM audit, or communicate with us by email.

Usage data collected automatically when you visit the Site, including your IP address, browser type, operating system, referring URLs, pages viewed, and time spent on pages. This data is collected through cookies and similar tracking technologies.

Business information you provide during the onboarding or service engagement process, including practice demographics, EHR system details, and billing volume data necessary to deliver our RCM services.

How We Use Your Information

We use the information we collect to respond to your inquiries and provide the services you request; to send you information about our services, industry updates, and resources (you may opt out at any time); to improve the functionality and content of our Site; to analyze usage trends and measure the effectiveness of our marketing; to comply with legal obligations and enforce our agreements; and to protect the security and integrity of our Site and services.

HIPAA and Protected Health Information

VisionPay Revenue Management operates as a Business Associate under the Health Insurance Portability and Accountability Act (HIPAA) when providing billing and RCM services to covered entities. Any Protected Health Information (PHI) we access, process, or transmit on behalf of a covered entity is governed exclusively by the applicable Business Associate Agreement — not by this Privacy Policy.

We maintain administrative, physical, and technical safeguards designed to protect PHI in accordance with the HIPAA Security Rule. We do not use or disclose PHI for any purpose other than those permitted or required by the applicable BAA and HIPAA regulations.

Cookies and Tracking Technologies

Our Site uses cookies — small text files stored on your device — to enhance your browsing experience, remember your preferences, and analyze Site traffic. We use both session cookies (which expire when you close your browser) and persistent cookies (which remain on your device for a set period).

You can control cookies through your browser settings. Disabling cookies may limit certain functionality of the Site. We do not respond to Do Not Track signals at this time.

Disclosure of Your Information

We do not sell, rent, or trade your personal information to third parties. We may share your information with trusted service providers who assist us in operating our Site and delivering our services (such as email platforms, analytics providers, and cloud hosting services), subject to confidentiality obligations.

We may also disclose your information when required by law or legal process; to protect the rights, property, or safety of VisionPay, our clients, or others; or in connection with a merger, acquisition, or sale of all or a portion of our assets, in which case we will notify you before your information is transferred and becomes subject to a different privacy policy.

Data Retention

We retain personal information for as long as necessary to fulfill the purposes described in this policy, comply with legal obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we securely delete or anonymize it.

Your Rights and Choices

Depending on your location, you may have certain rights regarding your personal information, including the right to access, correct, or delete the personal information we hold about you; the right to opt out of marketing communications at any time by clicking the unsubscribe link in any email or contacting us directly; and the right to request that we restrict or object to certain processing of your information.

To exercise any of these rights, please contact us at info@visionpayrcm.com. We will respond to your request within 30 days.

Security

We implement industry-standard administrative, technical, and physical safeguards to protect your information from unauthorized access, disclosure, alteration, or destruction. However, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

Third-Party Links

Our Site may contain links to third-party websites. We are not responsible for the privacy practices or content of those sites and encourage you to review their privacy policies before providing any personal information.

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last Updated" date at the top of this page. We encourage you to review this policy periodically to stay informed about how we protect your information. Your continued use of the Site after any changes constitutes your acceptance of the updated policy.
